Job Summary
As an office administrator, you will be responsible for managing office documentation, such as contracts, purchase agreements, and all other vehicle documents. The role involves processing payments, preparing invoices, answering calls, scheduling appointments, and maintaining an organized workspace. Additionally, you will support the sales team by managing customer inquiries, assisting with paperwork, and ensuring the proper documents are collected to ensure registration for the customer. Collaboration with various departments to ensure smooth operations is also required.
Compensation & Benefits
• Competitive pay $25-28./hour based upon experience

Key Responsibilities
• Assist office manager in maintaining office operations
• Prepare and organize contracts, purchase agreements, and other dealership documents
• Manage all importation paperwork and documents for cross-border transactions
• Stock in new vehicle purchases
• Check recall status for all new purchases to be imported
• Receive credit card deposits and payments from previous day's batch
• Answer phones and track incoming sales calls
• Schedule appointments
• Handle daily filing tasks
• Process payments, prepare invoices, and handle billing inquiries
• Assist the sales team with customer inquiries, paperwork, and follow-ups
• Assuring the sales team has collected all documents needed to register the vehicle for the customer
• Keep an organized work space work with sales, service, and parts departments to ensure smooth dealership operations
• Order and organize office supplies and dealership materials
Qualifications
• Previous experience in billing within the car industry
• Strong data entry skills and attention to detail
• Knowledge of standard accounting procedures
• Ability to prioritize tasks and multitask in a fast-paced environment
• Excellent organizational and time management skills
• Strong communication skills and ability to work collaboratively
